Setting Up and Managing the Notion Page
Notion is not only an easily accessible and user-friendly tool for the Receptionist to use for Written Feedback appointments, but it is also useful for creating forms, assigning readers, and linking valuable resources. There is a preexisting Notion page from Issue 6 that can be found here. This is the Notion page we will be using as our example.
Duplicating Pages
- Duplicate the most recent page, which can be found under the Publications or Guidelines. For example, if you are working on SQ 26 Issue 7, you will duplicate the page for SQ 25 Issue 6. You can duplicate pages by clicking Ctrl+D or selecting the three dots in the top right corner.
- Rename all the appropriate fields to reflect the current issue and quarter/year. For example, “SQ25 The Orange Couch Issue 6” would be updated to “SQ26 The Orange Couch Issue 7.” Do not forget to rename the submission form and update the form content.
- Update the editorial board and tentative schedule at the top of the page. Editors will not have access to the page unless they are tagged.
Updating Submission Form

Notion does not currently allow for “conditional” questions on forms.

- Hover over the table names in the submission form until you see the three dots next to the blue “New” button.
- Click the three dots and select “Delete database.” This will delete all submissions and information from the previous issue.
Managing Submission Form
- To share the link to the form, select the blue “Share form” button on the right-hand side.
- Select “Copy form link.”
- To close the form, click on the “Who can fill out” tab. Select “No access.”
Downloading Files
- Hover over the piece you want to download and right-click. The file should automatically show in your downloads.
Assigning Pieces

I recommend trying an alternative method to what is listed here. Because Issue 6 was the first time we used Notion for the journal, I did not rely too heavily on it and handled the assignments mainly through Slack.

- Once you begin the first reading period, create a new property in the “Responses” table attached to the submission form titled “Assigned to.”
